Activity Overview

The Warehouse Officer will be responsible for managing and overseeing the operations of the warehouse for the Therapeutic Supplementary Feeding Program (TSFP). This includes the receipt, storage, and dispatch of food commodities and non-food items. The Warehouse Officer will ensure the efficient and effective management of warehouse operations in compliance with Save the Children and WFP standards and guidelines.

ROLE PURPOSE:  The Warehouse Officer's primary role in the Therapeutic Supplementary Feeding Program (TSFP) is to oversee and manage all warehouse operations related to the storage, handling, and dispatch of food commodities and non-food items. This role ensures that all warehouse activities are conducted in compliance with Save the Children and WFP standards, ensuring the availability, quality, and integrity of supplies that are critical for the success of the TSFP. The Warehouse Officer is responsible for maintaining efficient and effective warehouse systems, ensuring accurate inventory management, and upholding stringent quality control measures. This role is essential to the timely and reliable delivery of lifesaving nutritional support to children and pregnant/lactating women who are beneficiaries of the TSFP. Additionally, the Warehouse Officer plays a crucial role in ensuring the security and safety of the warehouse environment, contributing to the overall operational success of the TSFP.

SCOPE OF ROLE: 

 

Reports to: Woreda Field Coordinator 

 

Staff directly reporting to this post: Warehouse Cleaner

KEY AREAS OF ACCOUNTABILITY:

Warehouse Operations Management:

  • Supervise and manage the receipt, storage, and dispatch of TSFP food commodities and other supplies.
  • Ensure proper handling, stacking, and storage of items in the warehouse.
  • Implement and maintain standard operating procedures for warehouse management.
  • Monitor and manage inventory levels to ensure adequate stock is available for program needs.

 Inventory Control:

  •  Maintain accurate and up-to-date records of all warehouse transactions, including receipts, dispatches, and stock balances.
  •  Conduct regular physical inventory counts and reconcile them with inventory records.
  •  Ensure timely and accurate reporting of inventory status to the Logistics Manager and other relevant stakeholders.
  •  Implement measures to prevent and manage stock discrepancies, damages, and losses.

 Quality Control:

  • Ensure that all food commodities and supplies are stored in accordance with WFP and Save the Children quality standards.
  • Monitor the condition of stored items and take appropriate actions to prevent spoilage, contamination, and damage.
  •  Implement and monitor temperature and pest control measures within the warehouse.

Coordination and Communication:

  •  Coordinate with the procurement team to ensure timely and accurate receipt of supplies.
  •   Work closely with the TSFP program team to understand and meet their inventory needs.
  •  Liaise with transporters and other stakeholders to ensure timely dispatch and delivery of supplies.
  •  Participate in coordination meetings and provide updates on warehouse operations.

Safety and Security:

  • Ensure the warehouse is secure and that safety measures are in place to protect staff and inventory.
  •  Implement and enforce health and safety protocols within the warehouse.
  • Conduct regular safety inspections and drills.

 Reporting and Documentation:

  • Prepare and submit regular reports on warehouse operations, inventory status, and any issues encountered.
  • Maintain comprehensive and organized records of all warehouse activities and transactions.
  •  Document best practices, lessons learned, and improvements made in warehouse management.

QUALIFICATIONS AND EXPERIENCE:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum of 3 years of experience in warehouse management, logistics, or supply chain management, preferably in a humanitarian or development context.
  • Strong knowledge of warehouse management principles and practices.
  • Proficiency in using inventory management software and MS Office applications (Word, Excel, PowerPoint).

 - Experience with WFP and/or Save the Children logistics and supply chain procedures is an advantage.

  • Excellent organizational and time management skills.
  •  Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.

LANGUAGE: 

  • Fluency in Local Language, Amharic, and English, both written and spoken.
